| Question: How do I configure and use My Dashboard? Answer: There are different components that are part of My Dashboard. The main dashboard management console is the center piece, but it also includes the user To Do list and configuration for Notifications/Notify Klip.
Dashboard Settings
Before using the dashboard it is necessary to one simple configuration step. The Dashboard Settings option allows selecting which dashboards to display and their position in the screen panels. Each dashboard can be placed in the left or right side of the work area. For smaller screens multiple dashboards can be placed only on one side for better viewing. The Save option confirms the dashboard configuration.
Dashboard
The dashboards provide a quick view and easy access to projects and tasks. The red and green color coding helps to see what is due and what is completed. Currently there are two dashboards available:
- Projects Details provides at a glace view of all projects (where user has permissions) and summarized information for overdue, scheduled, open, and completed tasks. The purpose of the dashboard is to show project status. Going over a number shows a label with the estimated and actual hours for the tasks. Each number is a link leading to a detailed list of all tasks that are summarized in that number. Clicking on a column header orders the items based on the column data. - Users and Teams Status shows the tasks status by users and teams (based on permissions for the user to manage other users or membership on teams). It is a summarized view to see the current workload of teams and team members, with overdue, schedules, open, and completed tasks at a glace.
Note: The scheduled column shows only the next 30 days of scheduled tasks.
ToDo
The ToDo section is a great resource to see the all tasks assigned to the current user. It answers the two most important questions: "What is on my list?" and "What are the priorities?". All tasks are grouped and listed in sections of importance. For example, all overdue tasks are in the top group, followed by all other upcoming tasks grouped by importance. The To Do list can be filtered to show different tasks using the Filter:
- My Tasks shows only the tasks for the current user - My+Team Tasks lists the tasks assigned both directly to the current user or indirectly to teams that the current user belongs to - All Tasks just pulls all tasks from all projects regardless if who they are assigned to
The To Do list is a great tool for prioritizing daily activities and managing all user tasks.
Notifications
The Notification tab offers a central place to manage all global notifications for the project area. A valid notification box has to be set up first in the Settings section before new notification rules are created. The interface provides a variety of options to set up notification rules based on project, task, or user parameters. Each notification rule will trigger a message when all the requirements are met. This functionality provides a convenient mechanism to get up to the minute status update on tasks and priorities. Notify Klip
Project Studio provides an additional option to supplement the built-in notification mechanism. It supports a third party desktop notification tool from Klip Folio (http://www.KlipFolio.com). All messages are delivered in RSS format to your desktop and Klip Folio provides instant updates and pop-up notifications. The Notify Klip tab outlines the instructions to install and configure this tool.
