| Question: How do I create and manage project tasks? Answer: Tasks are the main building blocks of projects. Project Studio provides the following functions to create and manage tasks:
New
To create new task select the project or project folder and click Add Task. If already viewing a task the Copy Task option can be used.
Using Copy Task will create a copy of the current task. This is a convenient way to enter similar tasks. Enter all task details and click Save.
View
To view an existing task click on the task caption or the View tab when already working with a task. To enter a new comment for the task type the text in the New entry field and click Submit.
If a workflow is defined for the project then the available workflow steps and actions will be listed on the right side. Clicking on a workflow step will move the task to that step with all associated changes in status and user assignment.
Edit To edit an existing task click on the task number or the Edit tab when already working with a task. Edit mode allows users to change all task details and the original caption and task description. The Quick Tasks area on the right side provides access to some of the most common actions. The Switch Users function allows swapping the assigned to and reported by users. This is very convenient when interactively working in a discussion mode and more information or clarification is needed. The Quick Tasks area also shows the detailed information for the assigned to and reported by user. There are links to send e-mail or instant message (if instant messaging accounts are configured for the users), as well as instant messenger on-line status. To confirm all changes made to the task details click Save.
Attachments
The Attachments tab allows uploading documents and materials related to the task. It is very common to attach a detailed specification or image for better description. To attach a file enter the description and click the Browse button to select file. After a file is selected click Attach.
Notification
The notification tab provides options to set up notifications at the task level. A notification rule can be defined to trigger an alert when the task status is changed or when the task is assigned to user or team.
